Invoice Printing

 

MLS 2026 provides several options for controlling the appearance and layout of your Estimates and Invoices. These settings are found under:

Tools → Setup → Invoice

The selections made here determine how invoices print from the current workstation.


Print Company Data

If checked, MLS 2026 will automatically print your:

Company name

Address

Phone information

Other company identification data

If you are using pre-printed invoice forms that already contain this information, leave this option unchecked.


Print Box / Frame Lines

This option prints borders and frame lines around sections of the invoice.

Using borders can:

Improve readability

Create a cleaner appearance

Separate totals and important information

If you are using pre-printed forms, these lines may not align properly and should usually be disabled.


Print Grey Background

MLS 2026 can print subtle grey shading behind selected invoice areas to create a more professional appearance.

This works especially well with:

Laser printers

Modern inkjet printers

Plain paper invoices

This option should generally be disabled when using:

Dot matrix printers

Pre-printed forms


Print 2 Copies

When enabled, the system automatically prints two copies of each invoice.

Most shops use:

One copy for the customer

One signed copy for shop records

For laser or inkjet printing, retaining signed copies is strongly recommended.


Underline Titles

Section headings may optionally print with underline formatting.

This can:

Improve readability

Make invoices easier for customers to follow

Create a cleaner professional appearance

This setting is purely a visual preference.


Color Printing

MLS 2026 supports selective color printing on invoices.

Color printing can:

Improve appearance

Highlight important sections

Present a more modern image to customers

The system colors were selected after extensive testing for readability and professional presentation.

Best results are obtained using:

Color laser printers

Inkjet printers also work well, though:

Printing may be slower

Ink usage may increase


Printer Selection

Each workstation may direct invoice printing to a different printer.

Selecting the printer here allows:

Network printer usage

Dedicated invoice printers

Pre-printed forms to remain loaded in one printer

Flexible routing from multiple workstations

Only Estimates and Invoices use this printer setting. Other reports normally continue using the workstation’s default printer unless changed during printing.

Because this setting is local to each workstation, it should be configured separately on every computer.


Lines Per Page

Most invoices print using:

Portrait orientation

Standard 8½ × 11 paper

6 lines per inch

The standard value is:

66 lines per page

Some printers may require slight adjustments depending on:

Driver behavior

Margins

Font rendering

If printing alignment appears incorrect, reducing this value slightly often resolves the issue.


Font Size — Normal or Small

Some printers automatically wrap text unexpectedly when using larger fonts.

MLS 2026 provides two font modes:

Normal

Small

If invoice text wraps incorrectly:

Change the setting to Small

This adjustment is saved separately for each workstation, allowing different printers to use different settings if necessary.


Accept / Cancel

When finished:

Press Accept to save your changes

Press Cancel to exit without saving

Invoice printing preferences are immediately applied after saving.
