Reports

The Accounts Payable reports help you monitor vendor obligations, manage cash flow, and maintain strong business relationships through timely and accurate payment practices.

A responsible business carefully reviews its payables activity on a regular basis—not only to avoid late fees and collection problems, but also to maintain the trust and credit reputation that vendors depend on.

All Accounts Payable reports are available from the Reports menu on the main Accounts Payable screen.

These reports:

Do not affect your data

May be run as often as needed

Provide valuable insight into your current financial obligations


Summary of Balances Due

What It Shows

A summary of all vendor accounts, including:

Vendor name

Date of last payment

Current balance

Amount overdue


Why It’s Important

This is the primary overview report for Accounts Payable.

It provides:

Total outstanding obligations

A quick view of overdue balances

An overall picture of vendor liabilities


How to Run

No input is required.

The report automatically reviews all Accounts Payable accounts.


Itemized Report for a Specific Vendor

What It Shows

A detailed transaction history for a selected vendor over any specified date range.

The report includes:

Vendor information

Prior balances and aging

All charges and payments within the selected period


How to Run

1.Enter the vendor account number

2.Enter beginning and ending dates


Why It’s Useful

This report is extremely valuable when:

A vendor disputes a balance

An invoice appears missing

You need to verify past activity

A reconciliation issue arises

Because the report provides a complete account history, it allows discrepancies to be identified and resolved quickly.

Many accounting systems cannot produce this level of detailed account history on demand. MLS 2026 can generate it immediately.


Vendor Listing

What It Shows

A directory of all vendor accounts, including:

Vendor name

Address

Phone number

Payment cycle

Terms

Credit limit


What It Does NOT Show

This report does not include financial balances.


Why It’s Useful

This report serves as a convenient vendor directory for:

Contact information

Payment cycle review

Administrative reference

Many businesses print this report monthly and keep it in a notebook for quick access.

Examples:

Calling vendors while reviewing worksheets

Preparing seasonal mailings

Looking up account information without using the computer screen


Summary of A/P Transactions

What It Shows

All activity currently in the transaction file, including:

Vendor account number

Transaction date

Invoice number

Charge amount

Payment amount

Payment cycle

A grand total appears at the end of the report.


Why It’s Useful

This is one of the best troubleshooting reports in the system.

Use it to locate:

Transactions not attached to valid accounts

Missing payment cycles

Old transactions that should have been processed earlier

If no payment cycle appears:

The account may not be active

The account may not have a valid cycle assigned


1099 Summary

What It Shows

Information needed to prepare IRS 1099 reporting for qualifying vendors.

The report summarizes:

Vendor payments

Payment totals

Tax-reportable activity


How to Run

Enter the tax year to process.

⚠️ This is often the previous calendar year, not the current year.


Why It’s Important

This report assists with:

Year-end tax preparation

IRS reporting compliance

Vendor payment verification


1099 Miscellaneous Forms

What It Does

Prints vendor 1099 forms using standard IRS-compatible forms.

Forms are typically prepared at year-end to satisfy IRS reporting requirements.

Standard forms are available from most office supply stores.


Summary of Overdue A/P Accounts

What It Shows

All overdue vendor accounts, including:

Account number

Vendor name

Date of last payment

Current balance

Aging totals:

oCurrent

o30

o60

o90+ days

Only accounts with overdue balances are listed.


Why It’s Essential

This is your primary overdue vendor management report.

It helps:

Prevent collection problems

Worksheets for A/P Accounts

What It Shows

A detailed worksheet of payable activity for a selected payment cycle.

The report is designed to closely resemble vendor statements.


Why It’s Useful

Most businesses:

Compare this worksheet against vendor statements

Verify invoices before payment

Leave unmatched items unpaid until verified

This process helps detect:

Vendor posting errors

Missing invoices

Duplicate charges


Best Practice

Run the worksheet using a date range that slightly exceeds the vendor’s statement period.

Extra items can simply be marked and held for the next payment cycle.


Summary of Cash Paid Out

What It Shows

A summary of cash disbursements for a specified date range.

This includes:

Cash payments

Manual cash payouts

Disbursement activity


Why It’s Useful

Provides quick visibility into:

Non-check cash activity

Daily cash outflow

Small operational expenses


Monthly Totals

What It Shows

A monthly summary of all Accounts Payable activity.


How to Run

Enter the first three letters of the month:

JAN

FEB

MAR

etc.

The report summarizes all vendor transactions for that month.


Why It’s Useful

This report helps:

Review monthly vendor spending

Monitor purchasing trends

Support end-of-month financial review

Many businesses run this report at the end of each month as part of normal accounting procedures.
