Voiding Transactions

 

To Void a transaction, from the  Finance -> Merchant screen, select the  ( Void ) button.

 

The system will display a list of transactions.  Select the one you wish to cancel, and press the Accept button.  The transaction will be reversed.

 

PMLS 2026 allows you to void previously processed credit card transactions directly through the Merchant Services system.

To void a transaction:

go to Finance → Merchant Services

select the

👉 postvoid   Void button

The system will display a list of recent merchant transactions.


Selecting the Transaction

Highlight the transaction you wish to cancel and select:

Accept

MLS 2026 will send the void request to the merchant processor.

If approved:

the transaction will be reversed

the payment will be removed from the workorder totals

accounting records will update automatically


Important Difference Between a Void and a Credit

A:

VOID

normally cancels a transaction before it fully settles through the merchant processor.

A:

CREDIT

refunds money after settlement has already occurred.

Voids are generally:

simpler

faster

less expensive

because the funds may never fully leave the customer’s account.


Time Limits on Voids

⚠️ Important:

Most merchant processors only allow voids within a limited time period.

This is commonly:

the same business day

before batch settlement

before nightly processing closes

Once a transaction has settled:

it usually can no longer be voided

a credit/refund must be issued instead

The exact rules depend on:

the merchant processor

the card provider

settlement timing


Automatic System Updates

When a void is successfully processed, MLS 2026 automatically updates:

workorder balances

merchant transaction records

accounting activity

payment totals

This helps maintain accurate financial reporting throughout the system.


Use Caution When Voiding Transactions

⚠️ Voiding transactions should be handled carefully.

Always verify:

the correct transaction was selected

the customer requested the cancellation

the invoice status is accurate

Improper voids can create:

customer confusion

accounting discrepancies

duplicate processing problems


Recommended Best Practices

Before issuing a void:

Verify the original transaction carefully

Confirm the invoice status

Make sure the transaction has not already settled

Document the reason for the void

Limit void authority to trusted personnel


If a Void Is Rejected

A void request may fail because:

the batch has already settled

the transaction is too old

the merchant processor rejected the request

If this happens:

👉 issue a standard credit/refund instead.


Best Practice Reminder

Voids are generally preferred over refunds when the transaction has not yet settled because:

processing is cleaner

accounting is simpler

funds move faster

merchant fees may be reduced
