Security

 

The MLS 2026 Security System allows the system administrator to control access to the various areas of the program for each individual user.

Security settings are configured under:

Tools → Setup → Security

Each employee should have their own username and password so activity and access rights can be managed properly.


Initial Login

When first installed, MLS 2026 includes a default administrative account.

Use the following credentials:

User Name: LINK

Password: MASTER

This account has unrestricted access to all program functions.

For security purposes, it is strongly recommended that:

A new administrator account be created immediately

The default LINK account password be changed or the account removed entirely


Creating User Accounts

The Security Setup screen allows the system manager to:

Add new users

Assign passwords

Modify access rights

Remove users

Restrict sensitive functions

The screen displays:

A list of users

Permission checkboxes for each major program area

To grant access:

Check the box next to the desired function

Unchecked areas are generally hidden from the menus and unavailable to that user.


User Access Rights

Once a user signs into MLS 2026:

Their security permissions become active immediately

Access to program areas is controlled automatically

If another employee uses the same workstation:

The current user should sign out

The next employee should sign in with their own credentials

This helps maintain:

Security

Accountability

Proper access control


Display Cost Option

A special checkbox controls whether the user may view:

Inventory cost

Internal pricing information

If Display Cost is unchecked:

Cost fields remain hidden throughout the program

This is commonly used for:

Service writers

Counter personnel

General office staff

while management retains full visibility.


Security Categories

The following access categories are available:


Workorders

Allows the user to:

Create workorders

Add parts and labor

Enter recommendations

Modify active workorders


Workorder Totals

Allows viewing of:

Pricing totals

Invoice calculations

Financial summaries on workorders


Payment Posting

Allows users to:

Accept payments

Post payments to invoices

Finalize customer transactions


Inventory Editor

Provides full inventory access including:

Adding parts

Editing parts

Removing inventory items


Purchase Orders / Stock Input

Allows:

Creation of Purchase Orders

Receiving inventory

Posting stock directly to workorders


Core Processing

Permits:

Core returns

Core receiving

Core tracking activities


Inventory Utilities

Provides access to:

Price changes

Inventory maintenance tools

Inventory processing utilities


Client Services

Allows full access to:

Client editing

Vehicle editing

Follow-up systems

Customer account management


Glossary

Provides access to:

Labor Glossary

Parts Pick Lists

Kits

Service package management


Receipts

Full access to:

Accounts Receivable

Receipt posting

Customer payment processing


Disbursements

Full access to:

Accounts Payable

Vendor payments

Check writing


Bank Accounts

Allows management of:

Bank account setup

Banking utilities

Financial account processing


General Ledger

Provides full General Ledger management access.


Payroll

Allows access to:

Payroll setup

Payroll processing

Payroll management functions


Reports

Allows the user to:

Run reports

Preview reports

Print reports


Setup

Provides access to:

System setup utilities

Rates and defaults

Configuration settings

This applies to both:

MLS 2026 workstation setup

DataManager setup utilities


Display Cost

Allows viewing of:

Inventory cost values

Internal pricing information

If disabled, cost fields remain hidden.


File Editor

Provides access to the MLS 2026 File Editor.

Important:

This option should only be granted to highly experienced administrators. Improper use of the File Editor can damage critical system data.


Revert Workorders

Allows previously completed workorders to be reopened.

Important:

This capability should normally be restricted to upper-level management or system administrators only.


Timeclock

If only the Timeclock option is enabled:

The user will only have access to the employee clock system

This is commonly used for:

Shop employees

Technicians

Limited-access users

Additional functions may still be enabled if desired.


Security Best Practices

For maximum protection:

Give each employee their own login

Grant only the access actually required

Restrict accounting and setup access carefully

Limit File Editor and Revert permissions

Remove unused employee accounts promptly

Well-managed security improves:

Accountability

Financial protection

Data integrity

Operational control
