Managing Accounts Receivable

 

Controls

addnew Add

Creates a new Accounts Receivable account.

If the account belongs to an existing service client, MLS 2026 will let you search the client database and automatically fill in their name, address, and phone numbers for verification.

If the account is for a non‑service client (e.g., a warranty company), a blank form will appear for manual entry.

 

 

expand Expand

Opens the Notes field in a larger, more readable editor for easier viewing and editing.

 

save Save

Commits any changes made to the selected account. Always save before leaving the screen.

 

trash Delete

Removes the highlighted account from the A/R list. Although deletion is available, it is rarely recommended. A/R accounts consume minimal storage, and retaining them preserves historical data for future reporting and audit needs.

 

cycle Cycle

Filters the account list to show only accounts assigned to a specific billing cycle. Select the button again to remove the filter.

 

pastdue Overdue

Displays only accounts with overdue balances. Select again to return to the full list.

 

post Post

Opens the posting screen to apply new charges or payments to the highlighted account.

 

postcredit Credits

Allows you to post and apply credits to individual transactions for the selected account.

 

calc ReCalc

Recalculates all balances for the highlighted account. Useful if you suspect totals are out of sync.

 

report Reports

Displays a list of available A/R reports. Select a report to run it immediately.

 

tools Tools

Provides additional A/R maintenance functions:

Write‑Offs — Review severely delinquent accounts and write off uncollectible amounts.

Period Close — Close the current period and move completed work into history.

Reset Totals — Recalculate totals for all A/R accounts.

 

 

A/R Data Fields

MLS 2026 tracks all A/R values automatically as transactions occur. If you believe any totals are incorrect, select Refresh to force a full recalculation.

Account

Each A/R account has a unique number:

Service clients: E + their service account number

Non‑service clients: A + a system‑assigned number

This number ensures proper transfer of charges from workorders into A/R.

Company and Name

Displays the client’s name or company.

For individuals, MLS 2026 stores names as Last Name, First Name with specific spacing.

Maintain this spacing when editing to ensure proper sorting and consistency.

For service clients, updates here also update the main client record, and vice‑versa.

Address

Shows the client’s address and phone numbers.

Automatically populated for service clients when the A/R account is created.

Changes made here update the client’s main record, and changes made during service visits update this record as well.

Contact Info

Stores direct and business phone numbers plus an email address. Keep this information current for accurate communication and statement delivery.

Terms

The Net Days field defines when invoices must be paid.

Invoices exceeding this number of days are considered delinquent.

In Hot Accounts mode, an invoice is flagged even if it is one day overdue.

Credit Limit

Used by The Accountant and enforced by The Executive to prevent unauthorized over‑limit charges. Any override is automatically logged with the user’s ID.

Last Payment / Last Closing

Updated automatically when a payment is posted or when a period closing is performed.

Cycle

Billing cycles allow you to process receivables in manageable groups. Examples include:

Weekly cycles

Monthly cycles

Special cycles MLS 2026 supports up to 36 cycles (letters and numbers). Even if all statements are processed on the same day, multiple cycles help organize workload and reporting.

Flag

Indicates the status of the account:

Open — Active account

Closed — No longer used

Hold — Prevents new sales or services; useful for collection control

Previous Balance

The balance carried forward from the last statement and period closing.

Charges

All charges applied since the previous balance was calculated.

Payments

All payments posted since the last closing.

Current Balance

The client’s total amount owed. See Current Activity for the detailed list of transactions that make up this balance.

Current Due and Aging

Shows the aging status of all unpaid invoices based on their posting dates. If any values appear incorrect, select Refresh to recalculate.

Notes

Each A/R account includes a dedicated notepad for accounting‑related notes.

Used for documenting collection calls, special terms, or account‑specific conditions.

This notepad is separate from the notes in the service client record and is not visible elsewhere in the system.

Browse Lists

Current Activity

Displays a scrollable list of all recent transactions for the highlighted account. Each entry includes:

Date

Charge amount

Payment amount

Reference information

The list may extend beyond the visible window; use the arrow keys to scroll.

List of Accounts

All A/R accounts appear in the lower section of the screen. Highlight an account to view its details and activity in the upper portion of the window. To perform actions (posting, recalculating, reporting, etc.), highlight the desired account and select the appropriate toolbar button.
