The MasterLink Shop Writer Appointment Scheduler provides a powerful, system-wide scheduling system for organizing your shop operations, appointments, technician assignments, work areas, and planned services.
Unlike many standard calendar programs, the MLS Scheduler is fully integrated into your management system and accessible from any workstation running MasterLink Shop Writer.
The Scheduler can be used for:
•client appointments
•technician scheduling
•work area planning
•fleet service coordination
•internal meetings
•callbacks and reminders
•estimates and quotes
•service planning
•recurring events
•preventative maintenance follow ups
Because the Scheduler integrates directly with:

it becomes much more than a calendar. It is an operational planning center for the entire business.
Many standard calendar systems are:
•isolated to one computer

When creating a new workorder:
1.Select the desired workorder type
oEstimate
oInvoice
oCounter Sale
2.Press the Appointment button
3.Select the scheduled appointment
MasterLink Shop Writer will automatically:
•create the workorder
•insert the client
•insert the service unit
•include notes
•include quote items
•insert labor operations
•insert parts
This dramatically speeds up client check-in and improves professionalism.

The toolbar allows instant switching between:
•Day
•Work Week
•Full Week
•Month
•Timeline
views.
This makes it easy to:

The Search feature allows quick lookup of appointments using:

To create an appointment:
1.Navigate to the desired date
2.Click on the starting time
3.Begin typing the Summary Description
4.Press Enter
The appointment is immediately created.
You may:
•leave it as a quick entry
•or double click for full edit mode
To create an all-day appointment:
•click in the solid bar above the timeline
•under the selected date
Examples include:
•holidays
•training
•shop closures
•inventory days
•meetings
Appointments may be resized visually.
Simply:
•click the appointment
•drag the lower edge
The appointment duration adjusts automatically.
This is often faster than editing times manually.
Switch to Month View and drag the appointment across multiple days.

•training sessions

Double click any appointment to enter full edit mode.
The Summary field should contain:
•client name
•service type
•service unit reference

John Hawkins – Transmission Service – 2024 Ford F150
Specific summaries improve:
•searching

Always ask for the client's:
“best contact number”
This allows rapid communication if:
•schedules change
•parts are delayed

Appointments may be assigned by:
•technician
•work area

The available selections are created in:
Tools → Lists → Assign

Appointments may be color coded.
Shops commonly use categories for:

Reminders may be activated for appointments.
Specify:
•reminder enabled
•minutes before appointment
Appointments may be marked:
•Low
•Normal

Appointments display status indicators within the calendar views.

•Out of Office
Although appointments may be adjusted visually using drag-and-drop, all dates and times may also be edited directly in the detail dialog.
Selecting All Day removes time requirements and places the appointment in the top event bar.
Meeting appointments display a meeting icon in the calendar.
Private appointments display a lock icon.
Recurring appointments automate repeated scheduling.

The recurrence system allows:
•daily

•monthly
•custom interval scheduling
Once recurrence is applied:
•all current appointment data is duplicated
•future appointments are created automatically
Because of this:
Be sure the original appointment is fully completed before creating recurrence.
Appointments may be linked directly to:
•service units
•clients

•instant workorder creation

•PM integration
When a service unit is selected:
•the client is assigned automatically
Vehicle searches may be performed by:
•license
•client name
•make/model
Quotes
Quotes may be attached directly to appointments.
When the appointment is later converted into a workorder:
•labor operations transfer automatically
•parts transfer automatically
•notes transfer automatically
This can dramatically reduce check-in time.
The Notes field allows extensive information about:
•client concerns
•symptoms
•requested inspections
•special instructions
•callback requests
This information is available before the client arrives.
A well-documented appointment allows staff to:

Appointments containing notes display a check mark indicator.
Appointments may be moved by:
•drag-and-drop in Month View
•manual editing of dates/times
To remove an appointment:
1.Highlight it
2.Press the Delete key
Older appointments do not need to be removed unless desired.
The Scheduler is fully multi-user and accessible from all workstations.
However, the system does not currently auto-refresh calendar displays continuously across all computers.
For best operation:
•enter the Scheduler
•complete your work
•exit the Scheduler
•reopen when needed
This ensures the newest appointments entered by other users are displayed properly.
If only one person manages scheduling, the Scheduler may remain open continuously.
Some shops also dedicate:
•a second monitor
•a front office display
•a background workstation
to keep the Scheduler visible throughout the day.
•Use clear appointment summaries
•Always attach clients and service units when possible
•Enter detailed notes during scheduling
•Use color coding consistently
•Keep technician assignments organized
•Pre-build quotes whenever possible
•Review schedules daily
•Confirm client contact numbers
•Use recurring appointments carefully
