The General Ledger is the financial center of MLS 2026.
A consistent monthly review process helps ensure:
•accurate financial reporting
•balanced accounts
•reliable year-end reporting
•better business decisions
This checklist provides a practical monthly workflow that most businesses can complete quickly once it becomes routine.
These tasks occur automatically throughout the month as business activity is processed:
✓ Workorders post transactions automatically
✓ Accounts Receivable activity posts automatically
✓ Accounts Payable activity posts automatically
✓ Payroll activity posts automatically
✓ Banking activity updates balances automatically
Even though posting is automated, reports and balances should still be reviewed regularly.
Select:
•Ledger → Analysis
Verify:
•Ledger is balanced
•No invalid account numbers exist
•No transaction imbalances are reported
Correct problems immediately if found.
Run:
•Trial Balance
Look for:
•unusual balances
•unexpected totals
•missing activity
•accounts that “don’t look right”
Smaller weekly reviews make troubleshooting much easier.
Run:
•G/L Transactions Listing
Verify:
•transactions posted correctly
•no invalid accounts exist
•dates appear reasonable
•no unusual entries are present
Confirm:
•Workorders are closed
•A/R processing is complete
•A/P processing is complete
•Payroll processing is complete
•Banking entries are current
Select:
•Ledger → Analysis
The ledger should report:

Correct all issues before continuing.
Recommended monthly reports:

✓ Trial Balance
✓ Account Summary
✓ Transactions Listing
Many businesses:
•print these reports
or
•archive them electronically
for future reference and auditing.
The ledger must remain balanced:

Examine:
•income trends
•expense increases
•unusual costs
•department performance (if used)
Look for:
•declining profit margins
•rising operating expenses
•unusual spending patterns
Review:
•bank balances
•receivables
•payables
•upcoming obligations
Cash flow problems are often easier to prevent than repair.
Review:
•actual totals versus budget
•over-budget expense categories
•underperforming income categories
Investigate significant differences.
Select:
•Ledger → Close
Enter:
•the month to process
(example: JAN, FEB, MAR)
MLS 2026 will:
•update monthly totals
•transfer transactions to history
•preserve audit information
This final verification confirms:
•balances transferred properly
•reports remain accurate
•closing processed successfully
Every few months, also review:
✓ Financial ratios
✓ Expense trends
✓ Debt levels
✓ Inventory exposure
✓ Cash reserves
✓ Department performance (if used)
This helps identify longer-term business trends.
Before Year-End Closing:
Every accounting month should already be processed.
Post:

before year-end processing.
Archive:

Verify:
