MLS 2026 includes an interface to the desktop version of QuickBooks that allows selected accounting information to be transferred automatically when workorders are completed.
This interface is designed primarily for shops that:
•Already use QuickBooks Desktop
•Have accountants requiring QuickBooks reports
•Want simplified financial posting outside the MLS accounting system
MLS 2026 already includes a comprehensive, fully integrated accounting system that:
•Automatically processes accounting transactions
•Tracks receivables and payables
•Maintains the General Ledger
•Handles banking and payroll functions
•Integrates directly with work processing
However, some businesses choose to additionally use QuickBooks Desktop for outside accounting or reporting purposes.
The MLS 2026 QuickBooks interface provides that capability.
When a workorder is completed and closed in MLS 2026, the interface can automatically send:
•Customer information
•Invoice totals
•Tax information
•Payment information
•Open receivable balances
to QuickBooks Desktop.
The transfer occurs directly through the Intuit Software Development Kit (SDK) and does NOT require:
•Manual export files
•Import utilities
•CSV processing
The posting occurs automatically during workorder closing.
The QuickBooks interface is intentionally limited to financial summary information.
MLS 2026 does NOT transfer:
•Inventory management
•Detailed inventory valuation
•Service unit history
•Recommendations
•Technician tracking
•Detailed work processing
•Payroll processing
•Comprehensive accounting data
•Vendor/AP processing
These areas are handled far more comprehensively inside MLS 2026 itself and are beyond the capabilities normally supported within QuickBooks.
The interface supports ONLY:
•QuickBooks Desktop
It does NOT support:
•QuickBooks Online
•Cloud-hosted QuickBooks systems
•Browser-based QuickBooks services
MasterLink Software supports:
•The MLS interface itself
•Data transfer operations
•Initialization of the connection
MasterLink Software does NOT provide:
•QuickBooks accounting support
•QuickBooks training
•QuickBooks troubleshooting
•Accounting consultation
Questions regarding QuickBooks accounting procedures should be directed to:
•Intuit
•Your accountant
•A QuickBooks consultant
When a workorder is closed:
1.MLS 2026 processes its own internal accounting
2.The customer is verified in QuickBooks
3.An invoice is created in QuickBooks
4.Payment information is applied if payment was received
5.Unpaid balances remain open as receivables
If the customer does not already exist in QuickBooks, MLS 2026 automatically creates the customer record first.
If a workorder is not fully paid:
•The QuickBooks invoice remains open
•The balance appears in QuickBooks receivables
This allows receivable tracking directly inside QuickBooks.
The current interface does NOT transfer:
•Vendors
•Purchase Orders
•Accounts Payable transactions
These must be handled separately within QuickBooks if desired.
MLS 2026 does not currently transfer payroll information into QuickBooks Payroll.
Payroll systems remain independent.
QuickBooks maintains its own internal ledger based on the invoices and payments posted through the interface.
MLS 2026 accounting remains fully independent from QuickBooks accounting.
MLS 2026 is designed as a true multi-user business management system.
QuickBooks Desktop has significantly more limitations regarding:
•Networking
•Multi-user access
•Concurrent processing
For best reliability:
•QuickBooks should be installed on the same computer where workorders are closed
•Workorder closing should occur ONLY from that workstation
This is extremely important.
Install the:
•QuickBooks Foundation Class (QBFC)
This is supplied with the MLS interface package.
Install it on the computer where:
•QuickBooks Desktop is installed
Follow the installation prompts until complete.
You may:
•Use an existing QuickBooks company
•Create a new one
Remember the location of the QuickBooks company file.
You will need to locate it during initialization.
Before initializing the interface:
•Start QuickBooks Desktop
•Open the company file you intend to use
Leave QuickBooks running.
Within MLS 2026:
1.Go to:
Tools → QuickBooks Setup
2.Browse to the QuickBooks company file
3.Select the company file
MLS 2026 will then attempt to establish communication with QuickBooks.
QuickBooks will display authorization prompts requesting permission for MLS 2026 to access the company file.
Carefully follow the prompts and:
•Grant the requested permissions
•Allow the MLS interface access
If permissions are denied, the interface will not function properly.
After setup, verify the following within QuickBooks:
The following tax items should exist:
•Local Tax
•Exempt
•FET
Assign the proper tax agencies/vendors as required.
Within QuickBooks:
•Enable Multi-User Mode if appropriate
MLS 2026 may create categories such as:
•Sales
•Parts
•Labor
•Sublet
•Services
Verify these accounts appear correctly within QuickBooks.
To properly transfer information:
You MUST close workorders from the workstation where:
•QuickBooks Desktop is installed
•The MLS interface was initialized
When the workorder is closed:
•MLS accounting processes first
•Then QuickBooks receives the transferred information
MLS 2026 acts as a “guest” application inside the QuickBooks environment.
QuickBooks strictly validates:
•Data structure
•Account setup
•Tax configuration
•Customer information
If QuickBooks rejects information:
•The transfer will fail
•Errors may be displayed
Correct setup is therefore essential.
The original interface was designed around older versions of QuickBooks Desktop and the Intuit SDK architecture.
While many installations continue to operate successfully, businesses should understand:
•Intuit periodically changes SDK behavior
•QuickBooks networking policies change over time
•Cloud-based QuickBooks products are not supported
MLS 2026 continues to support the traditional QuickBooks Desktop integration model for those businesses choosing to use it.
