Credit Card Processing In Auto Shop Writer

 

Auto Shop Writer has integrated an online credit card processing system into the program.  This allows you to simply swipe a card, or enter the information on a credit card screen, and the payment will be processed and posted to the invoice.  You may also use it for accounts receivable posting.

 

To utilize this service, contact MasterLink Software ( 949 589-3186  or Sales@MasterLinkSoftware.com ) and we will give install the necessary software file on your computer(s) and the processing company will setup your account.  The terms are competitive ... a free card reader, no setup fees, and all service charges will be equal to, or less then, your current rates.

 

Auto Shop Writer also tracks all credit card transactions and will provide reports of all transactions.

 

Finally, you can also post a credit back to a card that was previously charged.

Account Setup

On the Accounting menu in Auto Shop Writer, select the Credit Card item, and then Setup.  The following screen will appear.  Enter the account number you received from our cooperating merchant card processing company. If you do not have an account, leave this field blank.  Press the OK button to save the entry.

Posting A Charge

To post a charge to a credit card, go to the invoice payment screen.

1.Enter any other payments the client will make, then select the Credit button.

2.You will be asked if the card is present.  If yes, then you will be prompted for the amount to charge.  This will be the balance.  You can leave it, and press OK, or modify the amount.  You can then swipe the card and press Accept.  If the card is not present, you will be prompted for the customer's card information.  Enter it, and the amount you wish to charge, and it will be processed.

You can post up to 4 charges on a single invoice.  The system will automatically total the postings and show the amount in the Credit Card box with the last transaction result in the Posting Note.

 

The charges will be listed on the final invoice with a place for the client to sign indicating acceptance of the postings.

 

 

Posting A Credit

When you wish to issue a credit to a card previously used, from the menu Select Accounting, Credit Card, Credit.

 

1.  You will see the following screen positioned to the current day's transactions.  You can scroll up for previous days.  Highlight the transaction you wish to apply the credit toward. Press the Accept button.

2.  You will be prompted for the amount to be credited back to the card.  You will be shown the full charge but you can reduce the amount to any value you wish.

The transaction will then post and the credit will be issued on the card.  The Accounts Receiveable for that client will receive a negative payment amount.  If you do not have an established AR account for that client, the transaction will post anyway.  You simply need to then go into Accounting, Receivable, Edit and create the account.  The system will allow you to look up the account from the service customers, and will use the same account number.  Once created you will see the transaction on the screen.  You can assign a billing cycle to track it.

 

Reports

The Credit Card item on the Workorders report tab will give you a complete listing of all transactions for the date range you select.  Enter a beginning and ending date, and you will get a list of all sales, credits, and rejections, plus appropriate information to identify where the transaction applied.
