Professional communication is one of the most important elements of successful marketing.
MLS 2026 includes a built-in Text Editor used for creating:
•letters
•postcards
•follow-up notices
•reminder messages
•email templates
•marketing communications
Once created, these templates can be reused repeatedly, saving significant time while maintaining consistent professional presentation.
The Text Editor is accessed from:
👉 Client → Tools → Text Editor
The same list of templates is also available automatically whenever communication is generated through the marketing and follow-up systems.
To create a new communication template:
1.Open the Text Editor
2.Select the Add button
3.Enter the document information
4.Type the message text
5.Select Save
Templates may be edited and updated at any time.
Each document is assigned a type.
The standard document types are:
Type |
Purpose |
C |
Card or Postcard |
L |
Letter |
E |
This helps MLS 2026 organize and display the proper communication choices during follow-up processing.
Each template contains:
•a Code
•a Subject
The Code is a short user-defined identifier used to quickly locate the document.
Codes should be:
•brief
•descriptive
•easy to remember
Examples:
•GS50K
•THANKYOU
•WINTER
•PM90D
•OIL5K
A code such as:
👉 GS50K
might represent:
👉 General Service — 50,000 Mile Reminder
The code itself is primarily used internally for quick lookup and organization.
The Subject is a short description explaining the purpose of the communication.
Examples:
•Winter Service Reminder
•Thank You For Your Visit
•50,000 Mile Maintenance
•Cooling System Inspection
•Seasonal Safety Check
Subjects should clearly explain:
👉 the purpose of the message.
Letters include several additional fields used for professional formatting.
The Closing is the phrase placed before the signature.
Examples include:
•Sincerely
•Thank You
•Best Regards
•Respectfully
Avoid overly outdated expressions unless they match your business style.
This field contains the name of the person sending the communication.
Examples:
•Shop Owner
•Service Manager
•Lead Technician
•Client Relations Manager
The Title field identifies the sender’s position within the company.
Examples:
•Owner
•Service Manager
•Operations Manager
•Customer Care Specialist
The primary editing window is used to create the actual content of the communication.
The editor supports:
•full text editing
•scrolling documents
•formatted text entry
•reusable templates
Messages should be:
•professional
•easy to read
•specific
•personal when appropriate
Avoid:
•excessive sales language
•overly long messages
•generic advertising tone
Clients respond best to communication that feels:
👉 helpful and sincere.
MLS 2026 supports modern operating system voice dictation features within text editing screens.
This allows users to:
•dictate letters
•create reminders
•compose emails
•enter notes
•draft follow-up communications
using the operating system’s built-in speech recognition tools.
Voice entry can dramatically reduce typing time while making communication creation faster and easier.
Because dictation support is handled through the operating system:
•functionality may vary slightly by platform
•microphone configuration must be completed properly
•speech recognition accuracy depends on the OS service being used
MLS 2026 also supports optional AI-assisted text review through supported third-party services.
When enabled, the AI assistant can help:
•improve grammar
•correct spelling
•enhance readability
•clarify wording
•improve professionalism
•refine customer communication tone
The AI system is designed to:
👉 improve your existing message
not replace your business identity or communication style.
Users may:
•accept the revised text
•modify the suggestions
•reject the changes entirely
Use of AI assistance requires:
•an active supported third-party account
•internet connectivity
•proper configuration within MLS 2026
Always review communication carefully before saving or sending.
MLS 2026 includes spelling support within text editing functions.
Professional communication reflects directly on:
•your business image
•your professionalism
•customer confidence
Poor spelling or grammar may negatively affect:
👉 customer trust.
The most effective client communication is:
•brief
•clear
•useful
•respectful
•specific
Helpful reminders and informative messages perform far better than:
•aggressive advertising
•excessive promotions
•generic mass mailings
Examples of effective communication topics include:
•preventative maintenance reminders
•seasonal service recommendations
•thank-you messages
•inspection notices
•safety reminders
•follow-up communication
Once a document is complete:
👉 select the Save button
Templates only need to be created once and can then be reused repeatedly throughout the MLS 2026 marketing system.
Over time, businesses often develop:
•seasonal reminders
•follow-up libraries
•inspection notices
•service campaigns
•thank-you messages
•customer retention communications
which can all be reused and refined as needed.
•Keep communication brief and professional
•Use clear descriptive subjects
•Avoid excessive advertising language
•Personalize messages whenever appropriate
•Proofread all templates carefully
•Use voice dictation to improve efficiency
•Use AI review to improve clarity and professionalism
•Build reusable template libraries
•Focus on helpful information rather than sales pressure
